Information we collect
We collect account information such as your name, email address, workspace details, billing plan, and authentication data when you create or use an Invosend account.
We collect business and invoice information that you choose to enter, upload, generate, send, or store in the service, including client names, client contact details, invoice items, payment status, company profile information, templates, uploaded logos, signatures, and related documents.
We collect technical information such as device, browser, IP address, pages visited, referral source, feature usage, API requests, security events, and approximate location derived from your connection.
Free tools and embedded widgets
Some free tools on invosend.com run in your browser and are designed for quick document generation without requiring an account. When a tool clearly says it runs locally, the data you type into that tool is processed in your browser unless you choose to create an account, continue in the dashboard, or use a feature that requires a server request.
If you use an embedded Invosend widget on another website, basic usage and technical information may be processed so the widget can load, generate documents, protect against abuse, and preserve the required Invosend attribution.
How we use information
We use information to provide the service, create and send invoices, generate PDFs, manage clients, track invoice status, process API requests, support recurring invoices, protect accounts, prevent abuse, and improve product reliability.
We may use contact information to send service messages, security notices, billing notices, product updates, and support replies. Marketing messages, where used, can be opted out of without affecting essential service messages.
Payments and integrations
Invosend may let you connect third-party payment providers, email providers, webhooks, API clients, or other integrations. We process the information needed to connect and operate those integrations, such as provider names, connection settings, webhook endpoints, invoice identifiers, transaction status, and related metadata.
Payment card or bank account handling may be performed by third-party payment providers. Their processing is governed by their own terms and privacy policies.
Google user data
If you choose to sign in with Google or connect a Google service, we use the Google user data you authorize only to provide the requested login or connected feature, maintain account security, and troubleshoot that connection.
Invosend does not sell Google user data. We do not use Google user data for advertising, and we do not transfer Google user data to third parties except as needed to provide or secure the service, comply with law, or with your explicit direction.
AI features (receipt reading and template matching)
When you use an AI feature, such as reading a photo or PDF of a receipt into invoice lines or matching a template to a picture of an invoice design, the picture you choose is sent to a third-party AI provider (currently Google, through its Gemini service) so that it can be read. We send only the picture and the instructions needed for that task.
Invosend does not store the picture after the result is returned. We keep a usage record for each call (the feature, the model, the amount of text processed, the cost, the credits charged and whether it succeeded) so that we can charge credits correctly, return them when a try fails, and monitor costs. The record does not contain the picture or the text read from it. The lines or design settings you choose to add to an invoice or template are saved like any other content you create.
Do not upload pictures that contain information you are not allowed to share, such as other people's payment card numbers or personal documents. The provider processes pictures under its own terms and privacy policy. AI results can be wrong, and you are responsible for checking them before they are used in an invoice.
Cookies and analytics
We use cookies, local storage, and similar technologies to keep sessions secure, remember language preferences, understand aggregate product usage, measure marketing performance, and protect the service from fraud or automated abuse.
The promotional video on our home page is click-to-load: nothing is requested from YouTube, and no YouTube cookie is set, until you press play. After that, the video is served by YouTube (privacy-enhanced mode, youtube-nocookie.com) under Google's own privacy policy.
You can control cookies through your browser settings, but some service features may not work correctly without essential cookies.
Sharing and processors
We do not sell personal information. We share information with service providers only when they help us operate Invosend, such as hosting, storage, email delivery, analytics, security, customer support, payment processing, and infrastructure monitoring.
We may disclose information if required by law, to protect rights and safety, to investigate abuse, or as part of a merger, acquisition, financing, or transfer of business assets.
Security and retention
We use technical and organizational safeguards designed to protect information against unauthorized access, loss, misuse, or alteration. No internet service can guarantee absolute security.
We retain information for as long as needed to provide the service, comply with legal and accounting obligations, resolve disputes, enforce agreements, and maintain security logs. You may request deletion of eligible account data, subject to legal and operational requirements.
Your choices and rights
Depending on your location, you may have rights to access, correct, delete, export, restrict, or object to certain processing of your personal information.
You can update many account details from your Invosend account. For other privacy requests, contact us through your workspace account or at support@invosend.com.
Changes to this policy
We may update this Privacy Policy from time to time. When we make material changes, we will update the effective date and, where appropriate, provide notice in the product or by other reasonable means.
